Workspaces settings

Admin users can manage workspaces from Settings > Access > Workspaces. This page provides a single place to add, edit, delete and navigate to all your workspaces.

Description
Name
The name given to the workspace. Click it to open the workspace.
Description
The description given to the workspace, if it has one.
Type
The type assigned to the workspace, used for grouping, filtering and searching.
Tags
The tags assigned to the workspace, used for grouping, filtering and searching.

Click to permanently delete the workspace and everything in it, including its dashboards.

General tab

Description
Name
Required. Enter the name you want to give the workspace.
Description
Optionally, enter a description of the workspace.
Icon
Optionally, upload an image for the workspace. The image appears across the application, such as on the home page, workspace home and maps.
Type
Optionally, give the workspace a type from the dropdown. Used for grouping, filtering or searching, for example from the organization home page.
Tags
Optionally, give the workspace one or more tags from the dropdown. Used for grouping, filtering or searching, for example from the organization home page.
Default page
Choose the page shown first when someone browses to this workspace. Workspace overview opens the workspace dashboard collection, and is the default for a new workspace. First dashboard in the list opens the first dashboard in the left-hand nav.

Access Control tab

Setting
Description
Restrict access to this workspace
Off by default, meaning the workspace can be viewed, edited and administered by anyone. Enable it to limit who can access the workspace.
Users and groups
Shown once Restrict access to this workspace is on. Select individual users or groups and give each one Viewer, Editor or Full control. If a user is not listed, type their email address and click Add to invite them to the organization.
Allow view-only link sharing for all dashboards in this workspace
Shown when link sharing is enabled for the organization on the Settings > Access > Sharing page. Turn it off to stop dashboards in this workspace being shared by link, regardless of the organization setting.
Additional email domains
Only shown when Specify additional email domains at the workspace level is enabled on the Settings > Access > Sharing page. Lets you name further domains that count as part of your organization for dashboard sharing, so anyone with that domain can sign in and view a shared dashboard.

Links
The workspaces this one is linked to, which lets it read their health and KPIs. Workspaces are linked automatically based on their permissions. Click Show workspaces to see them, remove one with the x next to its name, or add one by typing its name.

Access control

Access control on a workspace decides who can see and change the workspace and its contents. It is enabled per workspace, on the Access Control tab of the Edit workspace window.

When you enable it, you are given Full control and the Everyone group is given Viewer.

  • User can view the workspace contents (dashboards, scopes, KPIs, etc.).
  • User can add the workspace as a downstream workspace for monitoring from other workspaces.
  • User can see the workspace and related objects in their scopes (i.e., to monitor the state of the workspace).
  • User cannot edit or delete anything within the workspace, including dashboards, tiles, scopes and KPIs. User cannot configure the workspace or its contents (e.g., change workspace name, change the ACL, configure notifications).
Editor
  • User can do everything from Viewer level, but additionally can modify the workspace contents (dashboards, scopes, KPIs, notifications, etc.).
  • User can modify workspace properties, such as name.
  • User cannot modify the workspace ACL.
  • User cannot delete the workspace.
Full Control
  • User can do anything with the workspace, including changing its ACL and deleting it.

Administrator special access

Administrators have administrative access to all workspaces. They see every workspace listed on the Settings > Access > Workspaces page, and can change any workspace’s properties, including its access control.

Note

Administrators do not see all workspaces in the main dashboarding area of SquaredUp, and have no access to workspace contents unless they add themselves to the workspace access control.

Workspace permissions

Everyone can open the Settings > Access > Workspaces page. Administrators see every workspace in the organization, and everyone else sees the workspaces they have access to.

Adding a workspace needs either administrator rights or a group with the Can add workspaces permission. Editing and deleting a workspace depend on that workspace’s own access control.
