Sharing and collaboration

Usage limits apply and are determined by your plan

Data is most powerful when it’s shared, and SquaredUp's sharing and collaboration features make it easy to bring others into the story your data tells. Whether that means inviting your teammates to explore dashboards, or sharing insights with people outside your organization.

These features make it simple to control who sees what, ensuring the right people see the right data, at the right time.

Why sharing and collaboration matter

As organizations grow, so does the need to share information seamlessly and securely. SquaredUp's sharing features support a range of collaboration scenarios.

Key benefits include:

  • Frictionless collaboration: Enable everyone to explore dashboards, even if they don’t have a user license.
  • Granular control: Manage who can view, edit, or manage content across workspaces.
  • Security and compliance: Ensure sensitive information is shared only with authorized audiences.
  • Scalable management: Apply consistent access rules across users, groups, and spaces as your organization grows.

Link sharing is a great way to extend the value of your data across your ecosystem and is ideal for teams that need to collaborate across organizations.

With link sharing, you distribute dashboard links to viewers inside and outside of your licensed user base, via public or restricted links, giving stakeholders real-time view-only visibility into key performance metrics, without the needing to log into an account.

Link sharing can be useful for:

  • Sharing an executive dashboard with clients or investors for transparency.
  • Embedding visualizations into portals or reports for external consumption.
  • Providing view-only access to partners or contractors for project monitoring.

Scheduled sharing

Scheduled sharing allows you to proactively share dashboards with your team. You can automatically send dashboard snapshots to destinations (Email, Teams and Slack) on a recurring schedule. This ensures your team receives updates proactively without needing to check dashboards manually.

For example, you might want to send a morning status report to a Slack channel every Monday morning at 09:00.

Access control

Access control defines how users and groups interact with content inside your organization’s workspace. With flexible permissions, Pro and Enterprise licensed admins can determine who can view, edit, or manage dashboards, workspaces and data sources - ensuring that data always stays both accessible and protected.

SquaredUp's access control features empower you to:

  • Restrict editing permissions to data owners while allowing others to view insights.
  • Grant project teams shared access to dedicated workspaces.
  • Configure group-level permissions for efficient user management at scale.
  • Enforce governance policies across content types and environments.
