Scheduled sharing
Usage limits apply and are determined by your plan
Scheduled sharing allows you to proactively share dashboards with your team. You can automatically send dashboard snapshots to destinations (Email, Teams and Slack) on a recurring schedule. This ensures your team receives updates proactively without needing to check dashboards manually.
For example, you might want to send a morning status report to a Slack channel every Monday morning at 09:00.

How scheduled sharing works
When you schedule a dashboard for delivery, SquaredUp sends a notification to your chosen destination.
Each delivery includes:
- A custom title and message: Provides context for the data, for example, "Weekly cost report".
- A dashboard screenshot: A visual preview of the current data.
- A link to the dashboard: If dashboard sharing is enabled, the delivery includes a view-only link that does not require a license. If link sharing is disabled, a standard link is provided, which requires the recipient to sign in.
Dashboard variables are only fully supported for scheduled sharing when a default value of All objects is configured. When the default value is set to None, a screenshot of the empty dashboard is shared. Users are able to click the View dashboard link, log in to SquaredUp, and interact with the dashboard as normal to select a variable.
Scheduled sharing use cases and examples
- Daily: For monitoring critical systems or recurring IT updates. For example, every day at 09:00, or every Monday to Friday at 07:00.
- Weekly: Weekly reviews for DevOps teams’ performance, incident logs, or maintenance planning. For example, every Monday at 08:00 (start of the workweek summary), or every Tuesday and Thursday at 15:00, or every two weeks at 12:00 on Wednesday.
- Monthly: For summarizing metrics like SLO/SLI for stakeholders. For example, on the 1st of every month at 09:00 (previous month’s report), or on the first Friday of the month at 11:00.
For quarterly, select Monthly, with a starting date of the first of the month of the next quarter, every 3 months, Fixed Day, Day 1. For example, 01/07/2026 09:00, every 3 months, Fixed day Day 1, will send on 1 July 09:00, 1 October 09:00, 1 January 09:00 etc. - Yearly: For example, every year on 1 January.
Scheduling a dashboard delivery
You can set up a schedule directly from the dashboard you want to share.
- Browse to the dashboard you want to schedule.
- Click the arrow next to the Share button, and select Schedule.
- Schedule tab:
Configure the delivery frequency by selecting the Repeat: Daily, Weekly, Monthly, or Yearly.
For every repeat, select the date and time (24 hour clock) you'd like the schedule to start, along with your timezone.- Daily:
- Select one or more days of the week, for example, Monday and Friday.Note
To prevent dashboard delivery at weekends, set repeat to Daily and in the Optional day(s) of the week box select

- Select how frequently you'd like dashboard delivery, for example, every 2 weeks.

- Select how frequently you'd like dashboard delivery, for example, every 1 month.
- Fixed or Relative: For Fixed day you select the day of the month, for example, the 5th of the month. For Relative, you can select the first, second, third, fourth or last, and one or more days of the week. For example, the last Monday and Friday of the month.Note
To schedule quarterly reports, set repeat to Monthly and set the interval to every 3 months.
- Yearly:
- Select how frequently you'd like dashboard delivery, for example, every 1 year.
- Fixed or Relative: For Fixed day you select the day and the month, for example, the 1st of January. For Relative, you can select the first, second, third, fourth or last, and one or more days of the week, along with a month. For example, the last Monday and Friday of January.

Select a destination for your dashboard updates to be delivered to. Each schedule can support one or more destinations.NoteScheduled sharing can use email, Teams and Slack destinations.
New email, Teams or Slack destinations can be added in Settings > Notifications.
- Options tab:
- Title/Subject: Enter a title. For emails this is the email subject.
- Message: Enter a message to be shown with the dashboard image.
- Theme: Select whether the dashboard image will be in dark or light mode.
- Use shared dashboard link (if available): If link sharing is enabled for the dashboard, then a shared dashboard link (view only, public, or email domain-restricted) will be used. This allows users who don't have a SquaredUp user license view-only access to the dashboard. If link sharing is not enabled, then a link to the full dashboard is used, which requires the user to sign in.
- Click Save.
Manage scheduled sharing
Settings > Sharing shows a list of dashboards that have had Scheduled sharing enabled under the heading Manage scheduled sharing. For information about Manage link sharing see Link sharing.
Administrators can see all dashboards, and workspace administrators can see dashboards in their workspaces.
You can delete a schedule for an individual dashboard and remove it from the table by clicking Delete

Why does SquaredUp say my schedule is disabled?
If all the destinations selected in the schedule are disabled then the schedule will show as disabled.
Select a new destination in the schedule, or go to Settings > Notifications and enable the required destination.
How do I configure a dashboard to be delivered quarterly?
To schedule the delivery of a dashboard quarterly:
- Select Monthly as the repeat frequency.
- Set the interval to every 3 months.
- Choose Fixed Day and select Day 1.
How do I configure scheduled sharing so it does not send at weekends?
To schedule the delivery of a dashboard Monday to Friday:
- Select Daily as the repeat frequency.
- Set a start date and timezone.
- In the Optional day(s) of the week box select
Monday,Tuesday,Wednesday,ThursdayandFriday.
If Link sharing is set to Off for the dashboard will the dashboard image still be delivered?
Yes. Configuring scheduled sharing will allow anyone with access to that destination (Email, Teams, and Slack) to see the dashboard image and any visible data. If you toggle the Use shared dashboard link option to Off, then the link used will require a log in to SquaredUp.
How can I deliver a dashboard to a different Slack channel or email group?
New destinations can be added in Settings > Notifications.
